eSignHouse ("we", "us") provides a service for preparing, sending and electronically signing documents. This policy explains what we collect, why, and what we do with it.
What we collect
- Account information: your name, email address and, if you sign in with Google, the basic profile Google shares (name, email, profile picture). We request no other Google data.
- Organization information: the name, address, contact details and logo your organization enters so they can appear on its documents.
- Documents and signing records: the documents your organization uploads or generates, the people named on them, their signatures, and the audit trail of each signing (time, IP address, email, and the actions taken). This is the core of the service and what makes a signed document provable.
- Usage information: ordinary server logs needed to run and secure the service.
How we use it
To run the service for your organization: fill documents, send them for signature, collect and seal signatures, keep the completed records available to the organization, and notify the people involved. We do not sell personal information and we do not use your documents to train anything.
Who can see it
Members of your organization, according to the permissions its owners set. The people you send a document to see that document. Our infrastructure providers (hosting, database, email delivery) process data on our behalf under their own confidentiality terms. We disclose information to others only when the law requires it.
Retention
Signed documents and their audit records are retained for as long as the organization keeps its account, because a signed record is only useful if it can be produced later. Organizations archive rather than delete. You can ask us to delete your account information by emailing the address below.
Security
Data is encrypted in transit and at rest. Access inside the service is limited by organization and role. Completed documents carry a tamper-evident seal and an audit certificate.
Google user data
If you sign in with Google, we use the profile information Google provides only to create and identify your account. We do not request access to your Gmail, Calendar or contacts.
If an owner or admin connects Google Drive, eSignHouse asks only for permission to create and manage the files it makes (Google's drive.file permission). We use it for one thing: putting copies of your signed documents and certificates into an eSignHouse folder in that Drive. We cannot see or open anything else in the Drive. Disconnecting removes our access; files already filed stay in your Drive.
eSignHouse's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not sell Google user data, use it for advertising, or use it to train AI models, and people at eSignHouse do not read it except with your permission, for security, or as the law requires.
AI apps you connect
eSignHouse has no AI of its own. If you connect it to Claude, ChatGPT or another AI app, you sign in with your eSignHouse account and that app can do what you can do in your organization, nothing more. It receives the folder details and document text it asks for in order to answer you; how that app handles data is covered by its own terms. We keep only scrambled copies of the sign-in tokens, and you can disconnect any app on the Integrate page.
